Home/Legal/Privacy Policy

Carvels Lettings Ltd is committed to protecting your privacy. This policy explains what personal information we collect through this website and in the course of our lettings and property management work, why we collect it, and how you can exercise your rights. Last updated 20 July 2026.

Who we are

The data controller is Carvels Lettings Ltd, a company registered in England, company number 08662646, registered office 10 Hewitt Close, Poringland, Norwich, NR14 7FE. Our trading office is Shoemaker Court, Earlham West Centre, Enfield Road, Norwich, NR5 8ET. We are registered with the Information Commissioner’s Office as a data controller, registration number ZA115266. What we collect

Depending on how you deal with us, we may collect: your name and contact details when you enquire about a property, request a valuation, arrange a viewing or register for property alerts; the fuller information you provide in tenancy, student and guarantor application forms, which can include your address history, employment details, income and references; details of repairs you report and correspondence you have with us; and limited technical information generated by your use of this website.

Why we use it, and our lawful bases

We use your information to respond to enquiries and arrange viewings (legitimate interests), to progress tenancy applications, referencing and Right to Rent checks (taking steps to enter a contract, and legal obligation), to manage tenancies, deposits, maintenance and rent collection (contract and legal obligation), to send you property alerts you have asked for (consent, which you may withdraw at any time), and to meet our regulatory duties as a letting agent, including anti-money-laundering rules where they apply (legal obligation).

Who we share it with

We share information only where necessary: with landlords and prospective landlords of properties you apply for; with referencing and Right to Rent providers; with government-authorised tenancy deposit schemes (we use the Deposit Protection Service); with contractors carrying out repairs you have reported; with utility providers and local authorities on tenancy changeover where appropriate; and with our professional advisers and IT providers who process data on our instructions. We do not sell your personal information.

This website

The site stores small amounts of functional data in your browser, such as your light or dark mode choice, properties you save as favourites and your cookie preferences. Enquiry and application forms are sent to us by email over encrypted connections. Some pages embed third-party services, currently Google Maps on property search pages and YouTube or Vimeo players for property videos, and these providers may set their own cookies when they load. You can control the optional categories through the Manage Options panel on our cookie notice. To see which pages are read we use our own analytics software, running on our own server in the United Kingdom. We do not use Google Analytics. It sets no cookies, stores nothing on your device and does not follow you to other websites, so there is no analytics category on the cookie notice for you to switch: there is nothing to consent to. We do not use advertising cookies.

How long we keep it

We keep personal information only as long as it is needed. Enquiries that go no further are deleted within a reasonable period. Information connected to a tenancy is kept for the tenancy plus up to six years, in line with legal limitation periods and tax rules. Application information for unsuccessful applications is kept only briefly.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask for information to be deleted or its use restricted where the law allows, to object to processing based on legitimate interests, to receive information you provided to us in a portable format, and to withdraw consent where consent is our basis for processing. To exercise any of these rights, contact us using the details above. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will do our best to put it right, following our complaints procedure. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time, and the latest version will always be published on this page with its date. If a change significantly affects how we use your information, we will take reasonable steps to bring it to your attention.
